What is included in my services?

Any business project begins with the definition and setting of a goal. My task is to work out the customer's goal and determine the possibilities of achieving it. For a successful conference you need:

planning an event, drawing up a program, determining the target audience, its segmentation;

informing participants, choosing communications, sending invitations, newsletters, publishing them in the media, advertising in social networks; selection, rental, and design of a suitable location, site, premises, pavilion, gallery, hall;

complete set, delivery, and installation of technical equipment;

organization of coffee breaks, lunches, dinners, final buffet, catering;

transport, visa, insurance services;

branding of the event, development, and production of thematic decor, photo zones, unique attributes, printed materials, handouts;

The purpose of the conference

The conference project begins with setting a general goal. Whichever essential plan you choose, the second most crucial element must necessarily be educational value. If you deliver it to your audience, you will surely earn loyalty.

By its nature, organizing a conference is constant tension, force majeure, and haste. A clear focus on goals will allow the project team to achieve the desired result without getting bogged down in a routine.

Conference budget

After defining the goals, it will become clear whether to make the event paid, partially paid, or free. If it is free, then be especially careful to correlate the planned results with the implementation costs.

Let's say your task is to attract new customers. Predict how many guests will become your customers; divide the cost by that figure. You will receive an estimated cost per customer acquisition. If it fits into your business model, it makes sense to spend resources organizing and conducting such an event.

Let's say you are doing a paid or partially paid event and expect to earn money from it. However, to hold a conference in a fashionable place and high level, you need to spend money to bring the budget to a plus according to the results and analyze and calculate everything in detail.

At this stage, it is necessary to decide on the key speakers. Before inviting five famous experts, calculate the cost of attracting them, include it in the ticket price. Think to whom and how you can sell tickets. Based on the statistics of conferences and my experience, it is most effective and expedient to invite one or two key speakers and make them the central figures of the conference.

For a large metropolis (San Diego, Los Angeles, San Francisco), the optimal start time is 10:00-10:30. This time is much more convenient for most participants and more pleasant for lecturers - they will not have to broadcast in front of a half-empty hall for the first hour and a half.

It is better to do each section of the program no longer than 1.5-2 hours, and the duration of each performance is 20-40 minutes, along with questions and answers. Put yourself in the shoes of the conference participants and make it easy and enjoyable. Make a holiday out of it, and you will be grateful.

Balance of formats

The conference, which consists mainly of panel discussions, is of little interest to anyone. However, in my memory, there were a few dynamic and meaningful discussions. Two or three meetings out of ten presentations are optimal. Be careful when choosing a conversation moderator. It is in his power to both spoil the discussion with the brilliant speakers and save the most seemingly hopeless one.

A couple of interviews with key speakers will harmoniously complement the program. Then, spend the rest of the time with traditional lectures and presentations.

Format of conference

My partners and I do various business events. We are sure to comply with the dates of the events and do not go beyond the allocated budget. The event format can be practically any:
